Please read these Terms & Conditions carefully before using our services. By booking with The Road Mapped, you confirm that you have read, understood, and agree to be bound by these terms.

1. Scope of Service

The RoadMapped provides bespoke travel research and itinerary design. We are not a travel agency, tour operator, or booking agent. Our service is limited to the curation of travel recommendations. We provide the "Plan"; the Client is responsible for the "Execution" (bookings). All payments made to us are for professional consulting time and expertise only.

2. Third-Party Bookings & Liability

All travel components (flights, hotels, rentals, tours) are booked by the Client directly with third-party suppliers via the links provided in the itinerary. No Agency Relationship: We do not act as an agent for any airline, hotel, or travel provider. Liability Waiver: We are not responsible for any cancellations, delays, injuries, loss of property, or dissatisfaction resulting from services provided by third-party suppliers. Contractual Relationship: Once you leave our site to book a trip, you are bound by the terms and conditions of that specific supplier.

3. Delivery Timeline & "Day 0"

The 15-Day Window: We commit to delivering the Initial Draft of your itinerary within 15 business days. The Trigger: This 15-day period begins only after (1) the service fee is paid in full and (2) the Planning Intake Form is submitted with all required information. Lead Time: We do not accept planning requests for trips departing within 30 days of the inquiry date.

4. Digital Delivery & Format

Preferred Method: Itineraries are delivered primarily via a Wanderlog interactive link for real-time map navigation and mobile access. Alternative PDF Delivery: A static PDF version can be provided upon request at the time of initial intake, subject to the Planner's approval. Technical Disclaimer: The RoadMapped is not responsible for technical outages on the Wanderlog platform or for any accidental deletions/modifications made to the itinerary by the Client if 'Edit Access' is provided. Accuracy of Data: Automated data (maps, hours of operation) is pulled from third-party sources. Clients are advised to verify opening hours directly with venues. Completion of Delivery: Delivery is deemed complete at the moment the link or PDF is sent to the Client's provided email. Failure to open the link does not constitute non-delivery. Usage Rights: Itineraries are for the personal use of the Client only. Redistribution, sale, or public posting for commercial purposes is strictly prohibited.

5. Pricing & Availability Disclaimer

Travel prices and availability fluctuate in real-time. While we strive to find options within your stated budget, we cannot guarantee that the price or availability shown in the itinerary will remain the same at the moment you choose to book.

6. Tiered Feedback & Revisions

The number of revisions permitted depends on the service tier purchased: The Standard Itinerary: Initial Draft + 1 round of revisions (Trips up to 5 days, 1 destination). The Full Travel Itinerary: Initial Draft + 3 rounds of revisions (Trips up to 14 days, 1 destination). The Bespoke Itinerary: Initial Draft + Unlimited revisions (Trips 14+ days or multi-destination). Revision Definition: A minor adjustment to the existing plan. Changes in destination or travel date shifts (>48 hours) are considered a "New Planning Request" and require a new fee. Deadline: Revision requests must be submitted within 7 days of receiving the Initial Draft.

7. Satisfaction Guarantee

Alignment with Brief: we guarantee your draft will reflect the preferences and "must-haves" specified in your original Intake Form. Correction of Errors: Factual errors or deviations from your provided brief will be corrected immediately at no cost. Limit of Guarantee: This applies to the quality of research only. It does not extend to the actual travel experience or "Change of Mind" requests regarding destination/dates after research has commenced.

8. Fees & Refund Policy

Service Fee: Our planning fee is non-refundable once the research process has begun (48 hours after payment). Trip Cancellation: If your trip is canceled by you or a supplier, our planning fee remains non-refundable as the research service has already been rendered.

9. Affiliate Disclosure

Some links provided in your itinerary may be affiliate links. We may receive a small commission if you book through these links, at no additional cost to you.

10. Communication Standards

Correspondence is handled via email. Please allow 24–48 hours for a response. Consultations are conducted during standard business hours and are not available on weekends or public holidays.

11. Travel Insurance Recommendation

The RoadMapped strongly recommends that all Clients purchase comprehensive travel insurance immediately after booking their travel components.

12. Service Capacity & Booking Queue

Monthly Limit: We accept a maximum of 4 bespoke planning clients per month. Queue System: If capacity is reached, your 15-day window will begin on the 1st day of the following month. Your place is only secured once payment and the Intake Form are submitted.

13. Data Protection & Privacy (GDPR)

The RoadMapped is committed to protecting your personal data. By submitting your Intake Form, you agree to the following: Data Collection: We collect personal information (name, email, travel preferences) solely to provide your bespoke itinerary. Third-Party Processors: We use Google Forms to collect your data and Wanderlog to deliver your itinerary. Your data is stored securely within these platforms in accordance with their respective privacy policies. Retention: We retain your data only for as long as necessary to complete your planning service and for a period of 12 months thereafter for administrative purposes. Your Rights: You have the right to access, correct, or request the deletion of your personal data at any time by contacting us via email. We will never sell your data to third parties.
